Lab Coat Shipping, Cancellations, Returns, and Exchange policy

Pre-order policies

For lab coats in a pre-order phase, you will be charged the full purchase price plus shipping and taxes calculated to your address at the time your order completes. You may also be responsible for additional customs duties or tariffs if outside the USA.

At any time before your order ships, you may cancel or modify your order by emailing our Orders group (click for link). 

Please do not purchase the pre-order if you have a high chance of cancellation. Too many cancelled orders could put our small business in serious financial jepoardy and could kill the whole project.

If your shipping address changes before your order is shipped, it is your responsibility to tell us. Packages returned to us due to incorrect addresses will not have the shipping cost refunded. We'll send email reminders before they ship, so look out for those!

Other items ordered with pre-order items will wait be shipped together with the pre-order items due to shipping costs. Please place separate orders if you'd like your other items right away. 

Warranty and Defect Policy

If you find a manufacturing defect in your lab coat, or if your buttons or stitching fail within the first 30 days after delivery, we’ll replace it for free or reimburse you to fix it locally (at our discretion). 

In scientific research, lab coats cannot last forever. If you use your lab coat every day, it should be replaced every 6-12 months for both safety and hygiene. If wearing it only once per week, it should still be replaced every 24 months, or sooner if permanently soiled.

We reserve the right to exclude items from our 30 day guarantee that have not been maintained per our care instructions, or items that have been altered or abused. Normal wear and tear includes, but is not limited to, tears in the fabric from catching on equipment, shrinkage due to laundering with excessive heat, holes due to exposure to corrosive chemicals, and staining from ink, blood, or other agents. If you have questions about care of your garments we are happy to help provide in-depth recommendations.

Exchange & Return Policy

In order to keep the prices extremely low for everyone, we don’t build projected shipping and returns costs into our pricing. Shipping a lab coat in the USA costs around $10 for standard options, and $30-$50 internationally. Our published margins on our affordable lab coats are typically only $10-$20, so we’re forced to charge for all shipping and returns due to customer errors or fit problems.

We publish the most detailed size charts in the industry so that you can get the perfect fit the first time. It just takes a few minutes up front to learn your measurements and select the correct size.

We politely ask the following if you'd like to exchange or return an item:

  • You may return your clean, unused lab coat in the original garment bag for a full refund or exchange it for a different size within 30 days of delivery - just cover the shipping cost and $2.50 inspection fee. Create an account with the email you used for your order, find your order, and click the "Request Return" button. We will add a shipping charge to your account and email you the return label. Print and include this with the return shipment.
  • Original shipping and handling charges are not refundable. If the return shipping charge is not paid by the time the item is received, no refund will be given for the item.
  • We cannot accept returns on embroidered or altered items. If you are unsure about sizing or style preference, we suggest that you place your first order without embroidery and find a vendor locally to customize it.

Exchanges:

To exchange an item for a different size, color or model:

  1. Follow the returns instructions below.
  2. Place a new order for the item you want in its place.

If someone else purchased your lab coat, they will need to contact us at this email to cover the new costs associated with shipping and exchanges before we print your shipping label. 

Checklist for returns eligibility

  • All original tags must still be attached.
  • Garments are to be returned in excellent condition - without stains, makeup, or soiling of any kind - just as you would want to receive your order.
  • Due to safety and contamination concerns, used or laundered lab coats may not be returned. By law, all garments returned must be perfectly clean.
  • Please place the garments inside the original garment bags without damaging the garment bag.
  • We reserve the right to refuse a refund if it has clearly been worn, laundered, or soiled.
  • We do not accept returns or exchanges after 30 days from the delivery date.

Returns Detail

If for any reason you are not happy with a non-embroidered item, please start the return process in your customer account within 30 days of your delivery date for a refund. We will credit your original payment method, excluding original shipping & handling costs and a $2.50 inspection fee, once your return has been inspected and approved. If we made an error on your order or there is a sewing problem or quality issue, please email us here (click for link). Please allow 5-10 business days after your order is received in our warehouse for your return to be processed.

How to submit a return request

Click the profile icon in the store's navigation, or go to the refund policy or a returns page, and then request a return.

  1. Log in to your account:
    1. In the Email field, enter your email address, and then click Continue.
    2. In your email account, open the email sent from our store and copy the six-digit verification code included in the email.
    3. Go back to the online store, and then enter a six-digit verification code.
  2. Click the order that you want to submit the return for.
  3. If your order has more than one item, then select the items that you want to return.
  4. Select a return reason and add a note for the store.
  5. Click Request return.
  6. If your return request is approved and requires shipping, then you will receive an email with shipping instructions and a return shipping label.
  7. Print the emailed shipping label, tape it securely to the box or bag, and drop it off with the correct shipping service (Usually UPS or USPS).
  8. After the product is returned and passes inspection for dirt or wear and tear, you will receive a refund for the cost of that item. If the product is found damaged or soiled and we cannot reuse it, no refund will be given. 

My garments were ordered as part of a larger group order. Can I make an exchange?

Yes, you can. Please email us at (click for link) to initiate and include as many details of the original order as possible. We will need to handle the return manually if you do not have access to the purchaser's account. You will need to pay the round-trip shipping cost and a $2.50 inspection fee.

International Shipping Details

We ship to most countries around the world. International shipping costs are automatically calculated at checkout by UPS, DHL and USPS. For international orders, tracking details may not show for 7-10 business days after the order is shipped. You may or may not receive a separate duty charge/bill directly from customs (separate from Genius Lab Gear), depending on the importing policies of your country.

Genius Lab Gear is not responsible for any applicable duties or import custom fees, which could be 20% or more of the order cost. If an item is returned to us because the customer did not pay applicable duties or the address was incomplete/incorrect, the original shipping cost will not be refunded and a $2.50 restocking fee will be assessed from the refund.

Our website accepts orders 24 hours per day, 7 days per week. We process orders during our hours of operation Monday – Friday, 8 am – 4:30 pm, excluding holidays. Orders placed before 2PM EST will be processed the same working day. Orders placed after 2PM EST, or on a weekend, will be processed the next business day.

Order cancellation

Orders can only be cancelled before they are fulfilled. If you've received a fulfillment notification by email, it's been shipped and cannot be recalled. We often ship within a few hours, so contact our warehouse immediately and CC our email address if you need to make a change. Even if your email is sent before shipping, we can't guarantee that we can take action and stop the shipment from our warehouse in time. We will make every effort to intercept it in time. Order cancellation after shipping will incur return shipping expenses and original shipping costs will not be refunded.

Embroidered Items

Many of our customers opt for custom embroidery. This requires some extra time, and all customers are required to acknowledge this checkbox during the order process. If you've selected custom embroidery, please allow up to four weeks before it ships (depending on current demand). This includes orders in which the customer has opted for expedited shipping (Next Day Air or 2nd Day Air).

If your order includes more than one item, your entire order will be shipped when your embroidery portion is complete. Please understand that we cannot accept returns or exchanges on embroidered items, unless there was a significant embroidery error on our part.
